Job Summary

 

This role is a leadership-focused and customer service position that is responsible for managing referral workflows, scheduling referrals, supporting staff, monitoring results, and reporting to senior management. Referral Supervisors contribute to the efficiency of their department by reviewing and improving processes and setting goals for their teams.

 

Duties and Responsibilities

 

  • Track and monitor all referral processes to ensure quality and timely completion.
  • Coach and provide training for Referral Coordinators
  • Maintain ongoing tracking and appropriate documentation of referrals to promote team awareness and ensure patient safety.
  • Contribute to process improvement recommendations for centralized team.
  • Foster strong relationships with external specialty offices, facilities, and internal care team members.
  • Assists Referral Coordinators with resolving issues pertaining to referrals.
  • Conduct and participate in team meetings.
  • Serve as the primary point of contact for providers and specialists to address questions or emerging concerns.
  • Run referral reports and analyze data to hold accountability to team.
  • Ensure timely follow-up on referrals, monitoring the process from initiation to completion.
  • Deliver excellent customer service, providing patients with clear, relevant information and supporting them in coordinating specialist referrals.
  • Monitor the referral management system for new requests, tracking progress, and ensuring the documentation loop is closed.
  • Address any changes in primary care provider (PCP) assignments that could affect existing referrals, handling these appropriately.
  • Provide patients with both verbal and written (preferably electronic) instructions, including any specific guidelines from the specialist office.
  • Stay informed on participating insurance plans, including referral requirements, eligibility, copayments, coverage limitations, and in-network/out-of-network benefits.
  • Ensure compliance with all company policies, procedures, and regulatory requirements.
  • Conduct post-appointment follow-ups with specialist providers to obtain documentation and ensure the referral is fully completed.
  • Troubleshoot coverage issues or scheduling barriers, escalating to providers or management as needed.
  • Manage HR issues with team to include disciplinary action, annual and midyear evaluations, and other responsibilities as they arise.

 

Minimum Qualifications

 

  • Bachelors degree required or Minimum 8 years relevant equivalent experience may be substituted for education.
  • 8 years of experience equivalent.
  • 2 years of experience is 2-3 years’ referral/medical records management
  • Minimum five (5) years supervisory experience of teams greater than three (3) employees
  • Experience working with Clinicians.
  • Experience reviewing data and making decisions based of the data.
  • Personal and professional passion to help improve healthcare delivery.
  • Ability to multi-task, highly organized with excellent communication and customer service skills.
  • Excellent computer skills, including knowledge of Microsoft Office.
  • Experience working in EHRs (preferably eClinicalWorks).

 

Working conditions

 

This job operates in a remote location from your home location.  This role requires a dedicated, quiet workspace with the ability to adhere to HIPPA and other privacy policies.  A reliable and high-speed Wi-Fi connection or home internet is required to perform the essential functions of this role.
