Job Summary

The Administrative Supervisor is responsible for overseeing and managing the daily operations of the Comprehensive Care Center, including supervising front office staff, medical records personnel, and referral coordinators. This role requires effective leadership, a strong understanding of healthcare processes, and the ability to foster a positive and efficient work environment. The Administrative Supervisor will ensure high-quality patient care, compliance with healthcare regulations, and the smooth functioning of office operations.

 

Duties and Responsibilities

  • Supervise, mentor, and develop a team of 8-10 direct reports, including front office staff, medical records personnel, and referral coordinators.
  • Oversee daily performance, provide constructive feedback, and implement performance improvement plans as necessary.
  • Conduct annual evaluations, manage HR and disciplinary issues, and promote a culture of excellence and continuous improvement.
  • Set expectations and hold the team accountable for workflow adherence and high-quality customer service.
  • Address and resolve patient concerns and complaints promptly and professionally.
  • Oversee the referral process, ensuring timely and accurate processing of patient referrals.
  • Manage the medical records process to ensure full compliance and accuracy.
  • Conduct audits and inspections to ensure adherence to best practices and identify areas for improvement.
  • Serve as a liaison between front office staff, medical records personnel, referral coordinators, and other departments within the organization.
  • Coordinate with the assigned clinical team to promote patient engagement and retention.
  • Oversee the scheduling and coordination of appointments for the multi-disciplinary team.
  • Monitor and manage office supplies and inventory.
  • Responsible for data collection and management, including demographics, patient history, insurance, and financial information.
  • Prepare and manage daily reports.
  • Participate in meetings, committees, and professional development activities as required.
  • Demonstrate a working knowledge of insurance coverage and benefits.
  • Appropriately triage patient and physician needs and understand general physician office procedures.

 

Minimum Qualifications

  • Education: Associate’s degree in healthcare administration, Business Administration, or a related field preferred.
  • Experience: Minimum of 3-5 years of supervisory experience in a healthcare setting, with a proven track record of managing a team of 8-10 direct reports.
  • Strong knowledge of front office operations, including medical records management and referral processes.
  • Excellent leadership abilities with strong communication and interpersonal skills.
  • Proficiency in healthcare management software and electronic medical records (EMR) systems.
  • Ability to handle multiple tasks, prioritize effectively, and thrive in a fast-paced environment.
  • Strong problem-solving skills with acute attention to detail.
  • Experience in a patient-facing medical center preferred.
  • Demonstrated respect for and experience with culturally diverse communities.
  • Highly organized with exceptional communication skills.
  • Team and customer service oriented.
